Sometimes, finding a venue to host your event can be the hardest part of the planning process. There are several different variables that one must think about when choosing the location...
- Space: can I fit 200 guests, the caterers, the photographers, and the band?
- A/V: is there an in house sound system? Is there a stage? How is the lighting?
- Food & Beverage: Can I/do I need to bring in my own caters and bartenders?
- Location: will all guests be able to get here? Is there enough parking? Is parking free?
These questions are really important to keep in mind when you begin visiting venues, but first you need to choose which venues to go see. Here are a few simple pointers to help you when picking those “to-go-see” spaces.
Look at three unique venues
Chances are, when you are searching online for a venue, you are seeing a number of spaces that could work for your event. So when you are trying to choose just one to go see, don’t! Choose three possible venues to look at. Each one will offer something different, and what you thought would be your best bet may be topped by something you weren’t originally considering.
Look at three unique venues, within your budget
The second pointer may very well be the most important. Make sure the three venues you look at are within your budget. There is nothing worse than seeing a space that you cannot afford to rent. If you fall in love with a venue that doesn’t fit your budget – you probably won’t be satisfied with the space you do rent. This can and will affect the rest of the planning process.
Those four bits of criteria at the top(space, location, F&B, A/V) come in to play before you see a venue and again when you are seeing one. Go through those questions and make a list of what you want. Also make a back up list, because remember you are going to look at spaces that offer different services. If one space doesn’t offer food and beverage, who will you bring to provide that? Will they fit into the space?
These three pointers are guide lines to help you stay on track and get you thinking. If you begin to get overwhelmed, don’t hesitate to call someone who knows, like The Finer Details. These thoughts are always running through our minds and we would love to help you plan your event!
